The Vacancy Report dashboard gives you a real-time, organization-wide view of staffing gaps. You’ll instantly see how many positions are expected, how many are filled, and what remains open. The report calculates filled rates and flags overstaffed or understaffed roles, with visual indicators that make it easy to spot issues at a glance. You can even drill down by organization or role type, helping leadership prioritize hiring and outreach.

Define Which Roles and Organizations to Track

Start by setting workspace-wide tracking preferences. Choose which organization types matter most — Member, Non-Member, or Workspace — and then define key positions to monitor using tags, person types, or specific role titles. Apply a default expected headcount across all organizations, or customize it later for exceptions. This setup ensures the Vacancy Report focuses on roles that are meaningful to your association’s mission.

Set Custom Role Counts by Organization

Each county or member organization may have different staffing needs. With the override tool, admins can define how many people are expected in each tracked role — specific to each organization. For example, one county may need 7 commissioners, while another only requires 3. This flexibility allows the Vacancy Report to reflect real-world expectations instead of applying a one-size-fits-all rule.
